AI tools to evaluate for workspace knowledge

A shortlist for teams that need answers grounded in owned documents, projects, and operational knowledge.

Editorially reviewedVerified 2026-08-113 official or primary sources

Decision rule

Choose the workflow that returns permitted, current, attributable information and says when the answer is missing—not the one that sounds most confident.

Candidates to evaluate

01

Workspace AI

Notion AI

It is integrated into a Notion workspace and can work with workspace and supported connected content.

Verify: Test permission boundaries, stale-page handling, and source traceability.
02

General AI assistant

Claude

Claude can be evaluated with uploaded or connected material on supported product surfaces.

Verify: Confirm connector access and whether answers can be traced to the correct internal source.
03

General AI assistant

ChatGPT

It is a general candidate for document-assisted analysis and team workflows.

Verify: Review workspace, retention, connector, and source-link behavior for the selected plan.
04

General AI assistant

Gemini

It is relevant for organizations whose governed knowledge already sits in Google services.

Verify: Test the exact account, product surface, permissions, and document corpus.

Run a fair pilot

  1. Create questions with known answers, conflicting sources, expired policies, and permission boundaries.
  2. Verify retrieval, answer correctness, source attribution, and appropriate refusal separately.
  3. Include users with different access roles in the permission test.
  4. Define a document freshness and ownership process before wider rollout.

IndexNow proof-origin protocol fix

Production Bing validation exposed HTTP 500 at the external root proof because TLS termination was followed by an internal rewrite using the wrong protocol. This release corrects that rewrite boundary, but remains unverified until the external proof returns HTTP 200, the automatic submission runs, a later canary returns HTTP 200, and the idempotent rerun passes.

IndexNow root-proof request compatibility

After v4.3.3, the exact root-level {key}.txt proof returned HTTP 200, but a full request carrying keyLocation still returned HTTP 403; a minimal homepage request with the same production key and no keyLocation returned HTTP 202. This release omits that field, while the automatic full run and idempotent rerun remain deployment checks.

IndexNow key-proof compatibility

Changed IndexNow verification to the official root-level {key}.txt convention after the first production notification returned HTTP 403; revalidation remains pending, while the website, sitemaps, and Bing sitemap processing are unaffected.
